Catalog administration tasks

The Catalog Administrator is responsible for performing the following catalog-related tasks:

  • Renaming the catalog

If you need (or want) to rename a catalog, you can!

    See Renaming a catalog

  • Assigning roles to catalog users

Give users access to catalogs based on the tasks they need to accomplish.

    See Catalog access

  • Modifying the fields used in a catalog

If you need to add more data to a catalog, or adjust the content of existing fields.

    See Catalog fields

  • Creating custom catalog fields

If there is specific data that isn’t accommodated by pre-defined fields, you can define your own.

    See Creating custom fields

  • Creating custom metadata

Metadata can be written out to asset files. If you have custom data that you want to export to assets, you can create custom metadata definition.

    See Custom metadata

  • Creating custom XMP namespaces

To extend your custom metadata, you can add a custom namespace.

    See Custom XMP namespaces

  • Configuring settings for adding assets

Portfolio can automatically add keywords, prompt users for metadata, and filter files that can be added to a catalog. See Ingest settings

  • Configuring Smart Keyword settings

Smart Keywords are keywords determined by examining the visible content of an image. You can specify categories to include, and languages for returned keywords.

    See Smart Keywords

  • Generating reports

Portfolio provides multiple reports on asset usage and NetPublish sites.

    See Reports

  • Manage NetPublish sites

You can enable or disable NetPublish sites and, in the Portfolio Web and Desktop clients, edit other aspects of your existing sites.

    See Portfolio NetPublish sites

  • Create catalog templates

If your catalogs require different fields than the standard templates, you can create your own.

    See Custom catalog templates

  • Add Watch Folders

Watch Folder catalogs monitor folders on your network for changes, and update your assets accordingly.

    See Adding Watch Folders

  • Export assets and metadata from a Vault catalog

Vault catalogs are inaccessible to casual file browsing. This helps you archive a Vault catalog’s contents.

    See Exporting a Vault catalog
