Users
On this page
Any person that needs to access Portfolio through a client application needs to have a Portfolio user account.
You assign each user a role in a catalog in order to allow them to access assets in that catalog. What a user can do with assets from a catalog is determined by their role within that catalog.
Types of accounts
There are two types of user account: Native and Directory Service.
Native Portfolio accounts are created within and maintained by Portfolio. Users must log in manually and accounts cannot be assigned a role as part of a group.
Directory Service accounts are provided by an Active Directory (AD) or Open Directory (OD) service on your network.
A catalog can accommodate both native and Directory Service accounts.
Note: In order for a Catalog Administrator to access Portfolio Administration, they must use a native Portfolio account.
Catalog roles
An individual user may need to perform different tasks with assets in different catalogs.
You give a user access to a catalog by assigning them a role in that catalog.
There are four roles, with increasing capabilities: Reader, Editor, Publisher, and Catalog Administrator.
In general, the Reader role is for users who primarily need to find assets; Editor is for users who need to enter data about existing assets; Publisher is for users who need to add assets to or remove assets from a catalog; and Catalog Administrator can perform any action on assets within the catalog, and modify some aspects of the catalog itself (in Portfolio Administration).
For details, see Roles.
Default role
The Portfolio Administrator can set the default role for users. When adding a new user, this is the role that is selected in the pop-up for the option Add user to all catalogs as: (role).
To change the default role, click Catalogs, select any catalog, then choose the new default role from the pop-up menu in the Catalog Defaults panel.
