Editing assets

On this page

There are typically two ways you will modify assets in your catalogs: adding, removing, and editing metadata; and changing the file that is the basis for the catalog entry.

For details about modifying asset metadata, see Editing asset properties.

Changing an asset’s file

Watch Folder catalog

To modify the file for an asset in a Watch Folder catalog, all you need to do is locate the file on disk (the file’s path is stored in the Portfolio catalog) then open it with the appropriate application.

If you don’t have direct access to the file (for instance, if it has been moved to an AutoSync folder on the Portfolio server), you can download the original, modify it, then put the modified copy back into the original location (overwriting the first file). See Downloading files for more information.

Vault catalog

In a Vault catalog, asset files are stored in a secure location that is inaccessible to casual file browsing.

In order to modify the file associated with an asset, you need to check out the file, make your changes, then check it back in.

This process ensures that only authorized users can edit a file, with access limited to one user at a time. For details about checking out a file, see Checking out assets.

In addition, Portfolio keeps earlier versions of an asset’s file (and metadata), so you can review changes and revert to an earlier version if necessary. For more information, see Asset versions.
